QUT University Careers on Academic Jobs

The posting, the scale, and the job on sight

QUT's advertisement for a Student Services Operations Manager lands like most professional staff postings do: a long URL, a reference number, and a pay band. Reference 26408, ongoing and full-time at Gardens Point, total remuneration $138,193 to $156,633 per annum including superannuation. Applications close 16 August 2026 at 11.30pm. Those are the particulars. What the advertisement signals, to anyone who reads university operations posts for a living, is a role that owns the transactional spine of a faculty that teaches more than 15,000 learners.

QUT enrolled 52,423 students in 2024. The Faculty of Business and Law sits behind roughly 9,600 to 10,000 of that total annually, depending on the year, across the QUT Business School and QUT Law. This role doesn't teach, and it doesn't counsel. It runs enrolment variations, progression, academic standing, assessment administration, records, complaints, and appeals. When that work slips, a faculty notices before the university does.

One word of practical detail before we go further: the current round is open to QUT staff with ongoing full-time work rights, and Aboriginal and Torres Strait Islander applicants from outside the university are directly encouraged and eligible. That restriction is not a minor note. It tells external candidates where the internal pathway runs, and it makes the Indigenous employment priority explicit from the first paragraph.

The Base Rate: Pressure, Volume, and a Policy-Driven Service

The base rate for a student services operation in 2026 is pressure. The Australian Universities Accord final report, released in February 2024, put student wellbeing, safety and support on the policy agenda with real force. TEQSA, the national regulator, made student wellbeing and safety a compliance focus from September 2024, and its stated reason was the accumulation of student complaints: vacant counselling posts, withdrawn support services not restored after COVID, understaffed front desks. That's the regulatory backdrop, but the workload numbers run ahead of the regulation.

QUT's own testimony to a Senate inquiry captured the strain. The university reported a sixfold rise in students disclosing neurodiversity since the pandemic, and a 30 per cent jump in counselling and psychology appointments that include mental health nurse consultations, with depression and anxiety dominating and stress-related presentations pushing severity and incidence upward. Around one in four Australians aged 15 to 24 will experience mental ill-health in any given year, per Orygen. An operations manager can't fix that, but they decide whether those students hit a functioning process or a queue.

Then there's the policy layer that has landed since 2024. Universities must maintain a Support for Students Policy under the Higher Education Support Act, with reporting obligations running from March 2025. New complaints pathways through a National Student Ombudsman are in train. None of this changes what the operations manager does day to day; it raises the cost of doing it sloppily. An enrolment variation processed without a record is no longer just poor housekeeping. It's an audit risk with a statutory frame around it.

What the Operations Manager Actually Runs

The duties list in the position description runs long, and it's worth reading the way a panel will read it (I walked through the position description's headline responsibilities in an earlier piece on AcademicJobs here). The role reports to the Associate Dean (Education) for career planning and performance. It supervises the Senior Student Support Officers and Student Support Officers in the Student Support team. It works alongside the Director of Curriculum and Academic Programs and the Student Experience Manager.

The operational core is a set of verbs that appear in almost every line of the position description: lead, oversee, monitor, partner. The manager sets service standards and escalation pathways, monitors service performance against them, and steps in on the complex end (escalated cases, complaints, appeals) where procedural fairness has to be applied consistently under policy. The compliance side is equally present: supporting audits, protecting data integrity, and keeping governance consistent with university policy, legislation, and regulator expectations.

QUT's own enrolment figures show what this team carries. Total enrolments were around 52,000 in 2024, with undergraduate students making up more than 37,000 of that (see QUT's at-a-glance statistics). The Faculty of Business and Law operates at Gardens Point, the CBD campus beside the Brisbane River and the City Botanic Gardens. That central-city setting sounds scenic; in practice it means a student service desk inside a high-foot-traffic campus.

What HEW8 Pays, and What to Compare It Against

HEW8 at QUT pays $116,774 to $132,357 in base salary, and the advertised total of $138,193 to $156,633 includes 17 per cent superannuation and 17.5 per cent recreation leave loading. For context, across the sector HEW8 or its equivalent runs from about $107,000 at UNSW to the low $120,000s at several institutions, before loading. QUT's band sits firmly mid-pack once total package is counted. The Fair Work Australia award minimum for HEW Level 8 is lower still, in the $111,000 to $120,000 band.

The non-salary terms deserve a mention because they're where retention happens. QUT's enterprise agreement offers up to 26 weeks of primary carer parental leave including super, a purchased leave scheme allowing up to eight extra weeks, salary packaging for superannuation, vehicles, childcare and gyms, and a Fitness Passport. For a mid-career operations manager weighing a move between universities, those items often tilt the decision more than a few thousand dollars of headline salary.

When you negotiate, negotiate the total package, not the number on top of the ad. Superannuation and leave loading are contractual, not discretionary, and the differences between university agreements can be larger than the salary gap.

Procedural Fairness, Audit Trails, and the Cost of Getting It Wrong

The regulator's expectations have hardened since 2024. TEQSA's Higher Education Standards Framework (Threshold Standards) 2021 requires providers to support student wellbeing, handle complaints and appeals fairly, and maintain secure student records. The regulator's compliance focus on student wellbeing and safety reads like a warning to providers who let support staffing thin out.

The Department of Education's Higher Education Provider Updates from March 2024 set out the Support for Students Policy phases, with providers required to have, comply with, and report on a policy identifying at-risk students and the support available; reporting began from March 2025 (see the department's update). For this operations manager, the translation is practical: every academic standing action, every appeal outcome, every enrolment variation needs a clean, auditable trail, because the policy exists in the records that back it.

That's the job's real art. The people-facing work matters, but the manager's signature is in the workflow: a shared escalation log, decision templates tied to policy sections, a case-tracking sheet that tells the Associate Dean which appeals are hanging. Boring, repeatable infrastructure. That's the point.

One Manager's Fix: Make the Standard Cases Boring

A former colleague, I'll call her Dr. R, spent eighteen months running a similar student services operation at another Brisbane university. Mid-semester, the result-release cycle dropped a cluster of academic standing appeals on the same morning her team had two officers out sick. Dr. R's fix wasn't heroic. She'd built a shared appeals log six months earlier, with decision templates mapped to each stage of the policy, so the remaining officers could move a complaint through the steps without re-litigating the rules from memory. Her committee met on time; the appeals closed inside the policy window.

That's one dataset of one: a single manager, one fortnight. But it generalises because the underlying logic is the standard cases. Make them boring. Enrolment variations, progression checks, academic standing actions and assessment administration: if these run as familiar, documented steps, the team's judgement gets reserved for the cases that genuinely need it. Multiply Dr. R's spreadsheet across an academic year of enrolment and assessment cycles and you've described the difference between a functioning faculty and a backlog.

What This Means for Your Application

Every selection criterion reads as a test, not a form. QUT lists seven: degree-equivalent experience in student administration or service operations; high-volume policy-driven service delivery; team leadership; governance and procedural fairness; organisational and problem-solving skill across competing priorities; communication with academic leaders and central service units; and a demonstrated commitment to equity, diversity and Indigenous Australian engagement. The last one isn't decorative. QUT runs an Indigenous Australians Employment Strategy with a 3.6 per cent workforce participation target, and the university's own advertisement says so.

The phrase inside the second criterion is "policy-driven." Australian university panels want evidence you applied the rules consistently under volume, not that you improvised. Write your response in STAR form, situation, task, action, result, and attach a number where you have one: a volume figure, a turnaround time, a team size, an error rate before and after. One concrete example per criterion beats a paragraph of adjectives.

Given the current round's internal priority, external applicants should read the position description carefully and decide whether their profile matches the Aboriginal and Torres Strait Islander eligibility line. If it doesn't, watch for the next external round. QUT has historically re-run this recruitment, and the reference number sequence, 26408 with later variants, suggests a continuing need.

The Position Description, One Phone Call, and the Deadline

Read the position description on QUT's careers site under reference 26408. Read it once for the responsibilities, then again with a highlighter for the verbs: lead, oversee, monitor, ensure, partner. Those are your selection criteria anchors, and your written response should mirror them.

Then contact the named officer, Shangary Sri, Director of Operations on (07) 3138 1567 or shangary.sri@qut.edu.au, with one sharp question about the team's current pressure points before you draft anything. A fifteen-minute conversation will tell you more about the role's actual state than another hour of polishing your CV.

Submit before 16 August 2026 at 11.30pm, because a late application doesn't get read.
