QUT Repository Assistant: What the Job Involves and Why It Matters

A part-time role doing the unglamorous work that keeps QUT research visible

QUT Uni Jobs on Academic Jobs

A part-time role doing the unglamorous work that keeps QUT research visible

Queensland University of Technology has opened applications for a Repository Assistant in QUT Library. The job is ongoing and part-time at 21.75 hours per week, based at Kelvin Grove with a hybrid option. It pays a full-time equivalent salary of $74,617 to $78,502 at HEW4, with total remuneration of $88,303 to $92,901 once 17% superannuation and 17.5% leave loading are included. Applications close at 11.30pm on 3 November 2026.

The work is less visible than the money suggests. The Repository Assistant processes research output records in the Current Research Information System (CRIS), verifies metadata, and handles queries. By the time a paper appears on QUT ePrints, someone in this role has usually checked the author names, the title, the grant ID, the licence, the version of record, and the publisher link. That checking is what keeps the repository trustworthy.

The role sits in the Office for Scholarly Communication and reports to the Scholarly Communications Librarian. It is an operational job, not a policy job. The policy is set elsewhere; this role applies it one publication record at a time.

If CRIS is an unfamiliar term, it helps to think of it as the institution's database of record for research activity. QUT ePrints is the public shop window. The CRIS is where the accurate data lives before it gets shown to the world.

The base rate: QUT ePrints is not a small operation

QUT launched the world's first university-wide open access mandate in 2003, effective from January 2004. That is not marketing language; the repository has been running for more than two decades. In October 2024, QUT Library marked 21 years of QUT ePrints with more than 78,000 open access research outputs and roughly 41 million full-text downloads.

The base rate for deposits is also unusually strong. QUT reported full-text for about 74% of peer-reviewed works published by QUT authors in 2014, and 70% for 2015–16 journal articles. The exceptions cluster around books, creative works, edited collections, and some gold open access articles where authors assume the publisher's copy is enough. That assumption is what creates follow-up work.

Here is a common scenario. A researcher, call her Dr M, emails the repository inbox because a 2023 paper is missing from her QUT ePrints profile. A publisher metadata feed has misspelled the grant number. The Repository Assistant goes into the CRIS, matches the DOI, corrects the funder ID, and emails the publisher to fix the source record. Multiply Dr M by a few hundred QUT authors and you have the weekly workload this role exists to absorb.

Why the funding bodies just made the job harder

The open access rules that reach this desk have tightened quickly. From 1 July 2026, the Australian Research Council requires journal articles and conference papers from its grants to be open access immediately upon publication, with a CC BY licence and a Digital Object Identifier. Metadata must land in an institutional repository no later than three months after publication. The ARC's Open Access Policy also adds specific requirements for research with, by, or for Aboriginal and Torres Strait Islander peoples and communities.

The health and medical research side has done the same. The NHMRC and the Medical Research Future Fund released a joint Open Science Policy that applied to NHMRC grant holders from 2 February 2026. It requires immediate open access, a CC BY licence, a three-month metadata window, persistent identifiers such as ORCID, and clinical trial registration before recruitment begins.

Each of those requirements lands in the repository queue as a missing field. A corrected record is the difference between passing an audit and opening a compliance finding. The Repository Assistant handles the unglamorous corrections, from funder IDs to embargo dates.

The national shift is measurable. The Council of Australasian University Librarians negotiated agreements that covered 22,953 open access articles in 2024, avoiding about A$119.8 million in article processing charges. More published articles are open access through publisher deals now, but that does not automatically feed a clean institutional repository record. That step is still manual, and this role is part of the manual step.

What the position description actually asks for

The advertisement lists seven selection criteria. The formal baseline is education, training, or relevant experience equivalent to a Diploma in Library Studies (Library Technician), plus library work experience. The one that carries the most practical weight is the third criterion: evidence of experience processing research outputs in an institutional repository, including knowledge of copyright, versions of record, and open access.

The day-to-day duties are more specific than the job title implies. The Repository Assistant works with Research Information and Systems Support staff to resolve publication metadata issues in the CRIS, contacts external publishers to correct database errors, and searches bibliographic databases and publisher websites for missing publication data. The role also manages the repository email account, coordinates lists of outputs that are not compliant with QUT's open access publishing policy, and does outreach to source accepted manuscripts.

QUT expects the successful applicant to work independently, meet deadlines, document their own work, and contribute to a team focused on efficient work practices. The stated digital literacy bar is Microsoft Office Outlook, Word and Excel, though in practice the work also involves EPrints and a CRIS interface. A separate selection criterion asks for demonstrated commitment to equity and diversity, with Indigenous Australian engagement called out explicitly.

No two days are identical. One morning may involve chasing a publisher over an incorrect volume number. The next may involve explaining to an academic why the accepted manuscript belongs in the repository while the typeset publisher PDF does not. The job rewards people who enjoy that kind of precision.

Salary, hours, and who can apply

The role is part-time and ongoing at 21.75 hours per week, based at Kelvin Grove. The full-time equivalent salary range is $74,617 to $78,502, and the total full-time equivalent remuneration is $88,303 to $92,901 including 17% superannuation and 17.5% leave loading. QUT also lists a Purchased Leave Scheme of up to eight extra weeks and primary carer parental leave of up to 26 weeks, including 17% superannuation.

Eligibility is narrower than for many QUT roles. The position is open to current QUT staff members who hold ongoing full-time work rights in Australia. Aboriginal Australians and Torres Strait Islander people who are not QUT staff are also eligible and encouraged to apply. That narrower field signals a search for a candidate who already understands the university's systems rather than someone who needs a lengthy onboarding window.

The reference number is 26556. The official application portal opens on 20 October 2026. If the long session URL fails, search QUT's jobs site for reference 26556 and it will come up.

What this means for your lab

Researchers rarely notice repository staff until a funder asks for open access evidence. The Repository Assistant's quiet job is to make sure the record already shows the accepted manuscript, the DOI, the correct grant ID, and the right licence before that question arrives. If you run a research group, that means compliance stops being a last-minute search through old email folders and becomes a small badge on a staff profile, checked once and checked correctly.

The version knowledge is what matters most. The position description asks for knowledge of versions of record because that knowledge determines whether a paper can legally become public now or must sit behind an embargo. A Repository Assistant who knows the difference between a publisher PDF and an author accepted manuscript saves researchers from copyright mistakes. The result is visible on QUT ePrints, where a clean record with the right link makes a paper easier to find through Google Scholar.

QUT's broader structural decision matters here. The university made the repository the entry point for publication reporting years ago, rather than treating it as an afterthought. That is a real reason its deposit rates have stayed above 70% while many institutions sit closer to half. The Repository Assistant role is what keeps that decision from decaying into a pile of metadata holes.

One concrete next step

If you are a QUT staff member, log into QUT ePrints this week and check one of your publications. Look at the version attached and the grant ID. If the accepted manuscript is missing or the metadata is wrong, email eprints@qut.edu.au before applications close. If you are thinking of applying, draft one paragraph that names the specific version you corrected, the metadata field you fixed, how you confirmed the publisher's policy, and what changed as a result. The panel will want evidence, not general enthusiasm for open access.

Frequently Asked Questions

📋What does a Repository Assistant at QUT do?

The Repository Assistant processes research output records in QUT's Current Research Information System (CRIS) so those records can be included in the institutional repository, QUT ePrints.
